The talk, who was there, and what they confirmed

Toolbox talks, tailgate meetings, safety huddles, pre-job briefings — you name them, and you decide what they cover. CheckOHS keeps the record of each one: which crew held it and where, what was discussed, who was there, and who confirmed it for themselves. The module is included with every account and stays off until a company admin turns it on.

What it does

Crews built from the people who actually turn up

A crew has a home location, an optional department and a roster, and one person can sit on several crews. People who hold a role at that location — or at the parent facility, for a satellite or customer site — are offered as suggestions and never added automatically. Subcontractors, labour-hire workers and visitors go on the roster, or onto a single talk, by name and employer, with no account and no invitation. The site a talk is held at is recorded separately from the crew's home, because crews move.

A topic library your organization writes

One library for the whole organization, and CheckOHS puts nothing in it — what a crew is taught is your decision. Write a topic with talking points and an attachment, a PDF or an image; duplicate one as the starting point for a variant; retire one that is out of date; or save a topic someone typed into a talk to the library afterwards. Each topic shows how many talks have used it and when it was last used.

An agenda that brings in the site's own records

Your organization owns the agenda, and each talk keeps a copy of the one it was run with. Agenda items can bring in what CheckOHS already holds for the site: recent facility inspection results and defect and vehicle damage reports, controlled products, equipment out of service, overdue inspections, open findings, and the action items left from the crew's previous talk. Those lists are captured when the roster is confirmed, so a talk opened a year later shows what the crew saw that day rather than today's list.

Attendance from the presenter, acknowledgement from the attendee

The presenter confirms who was present; only the attendee can acknowledge. If your organization asks attendees to acknowledge a talk, it writes the wording — CheckOHS supplies none — and each talk keeps the wording as it stood that day. Signed-in attendees acknowledge on their own device, and the presenter's screen never offers to do it for them. Acknowledgement closes when the presenter confirms the roster, and the talk is then locked: attendance, acknowledgements and scanned sheets can no longer be added, changed or removed.

Sign-in that works with or without a phone

The presenter ticks names off the crew roster. Where your organization turns it on, a QR code lets people sign themselves in — a new code each time the presenter opens sign-in, closing after four hours at most — and the public page never shows who is on the roster. A tablet can be handed round for each person to sign on screen. And a printed sign-in sheet always works: the scan is uploaded, its SHA-256 fingerprint is recorded, and its pages are added to the talk's PDF. A talk recorded from paper cannot be completed without its scan.

Schedules, the PDF, and the rest of the platform

A crew can run on a schedule — weekly, every two weeks or monthly — and CheckOHS prepares each talk up to a week ahead and reminds the presenter in the 24 hours before it. Every talk has its own PDF, in the language of whoever opens it, noting the language the talk was presented in. An optional compliance binder section summarizes talks held, attendance and topics by location, and a health and safety committee's minutes list the talks held at its facility since the committee last met. Talks are kept for the same retention period as your other records.

Common questions

Do we have to call them toolbox talks?
No. Organizations call these talks different things — toolbox talks, tailgate meetings, safety huddles, crew talks, pre-job briefings — so you set the name the module appears under, in English and French. How often talks are held, what they cover and who presents them are yours to decide too.
Does CheckOHS provide talk topics or acknowledgement wording?
No. The topic library starts empty, and the acknowledgement wording stays blank until you write it. A ready-made topic would be CheckOHS deciding what your crews are taught, and ready-made wording would be CheckOHS deciding what your workers are asked to confirm. The agenda is the one thing that starts from a sample, because it is structure rather than safety content, and you edit it freely.
Can people without a CheckOHS account be recorded at a talk?
Yes. Subcontractors, labour-hire workers and visitors are recorded by name and employer — added by the presenter, signing themselves in with the talk's QR code where your organization has turned it on, signing on a shared tablet, or signing the paper sheet. They are part of the record only: they are never sent an invitation or given a login.
Can a talk record be changed after it is confirmed?
No. Confirming the roster completes the talk and locks its attendance, acknowledgements and scanned sheets, and an acknowledged entry cannot be deleted or marked absent. If someone missed the acknowledgement, the remedy is covering the topic again at a later talk, which becomes a record of its own.
How does it work for a crew that works in English and French?
When your organization declares that it works in both languages, every topic, every agenda item and the acknowledgement wording need a French version that your organization writes — CheckOHS does not machine-translate them — and a topic can be used in a talk only once it is complete in both. Each talk records the language it was presented in, the presenter works from the material in that language, and each attendee reads the acknowledgement wording in their own.
Is the safety talks module an add-on?
No. It is part of CheckOHS rather than an optional add-on, and it stays off until a company admin turns it on in Settings. Sign-in by QR code is a separate setting, also off until it is turned on.
