Every asset, its schedule, and the proof it was inspected
CheckOHS keeps a single register of the equipment your organization is responsible for — what it is, when it was last inspected, when it is next due, and whether it is safe to use right now. Inspections are recorded against the asset, so the record and the equipment never drift apart.
What it does
One register for every asset
Name, type, manufacturer, model and serial number, plus a VIN for vehicles and your own asset tag or ERP number if you already have an asset management system. A regulatory reference field records the standard or regulation an asset is inspected against.
Schedules that match the real interval
Pre-use, daily, weekly, monthly, quarterly, semi-annual, annual, biennial, five-year, ten-year and post-incident intervals are built in, plus a custom interval in days with your own label — a harness load test, for example. Each schedule can run on a calendar basis or a fixed date.
Usage-based intervals
Some equipment is due on hours or distance rather than dates. A schedule can run on an odometer reading in kilometres or a chronometer reading in hours, so a 5,000 km or 250-hour service comes due when the asset has actually done the work.
Criteria in the checklist, not in a binder
Each schedule carries its own inspection criteria and instructions — what to check, how to perform the inspection, and the pass/fail criteria. Equipment manuals attach to the asset, so the person doing the inspection has them on the same screen.
QR code on the equipment
Every asset generates a printable QR code, sized from 3/4" to 2", showing the serial, asset number or plate. Scanning it shows live status, the last inspection date and the next due date — no login required, so a worker can check before use. Your organization's logo sits in the centre of the code, so a tag on a harness or a ladder is recognizably yours.
Strict compliance assets
Assets can be flagged for strict compliance, where an overdue inspection is more than a reminder: CheckOHS marks the asset out of service as soon as it goes past due, and shows that everywhere the asset appears, including the page a worker reaches by scanning it. That is a status in CheckOHS, not a physical lock, so tag the equipment as unserviceable as well. Status runs active, out of service, returned to service and archived, and every change is dated and attributed.
Common questions
- What kinds of equipment can CheckOHS track?
- Any asset that needs a recurring inspection — fall arrest harnesses, fire extinguishers, ladders, lifting equipment, powered equipment and vehicles. The register is not restricted to a fixed catalogue: you set the equipment type, and the schedule and criteria are defined per asset.
- Can inspection intervals be based on usage rather than dates?
- Yes. A schedule can be driven by an odometer reading in kilometres or a chronometer reading in hours, alongside or instead of calendar intervals. The asset comes due when it reaches the interval you set.
- Do workers need an account to check whether equipment is safe to use?
- No. Each asset carries a QR code that shows current status, the last inspection date and the next due date when scanned. It requires no login and no CheckOHS account, so anyone about to use the equipment can check it first.
- Can the QR labels carry our own logo?
- Yes. Upload a square logo or symbol once in your organization settings and it is placed in the centre of every equipment QR label you print — there is nothing to set per asset. Labels use the CheckOHS mark until you upload one of your own. The codes are generated at the highest error-correction level so the image does not stop them scanning, but keep it simple: a logo with wording or fine detail is not legible at label size.
- What happens when an inspection is overdue?
- Overdue and due-soon assets are surfaced on the dashboard and in the equipment list. An asset flagged as strict compliance goes further: CheckOHS marks it out of service the moment the inspection is past due, notifies the people responsible for it, and shows that status to anyone who scans the equipment. No software can physically stop someone picking up a ladder, so CheckOHS also tells you to tag the equipment as unserviceable or remove it from where it is stored. The status makes the overdue asset impossible to miss; the tag is what keeps it out of someone's hands.
