Who was trained, how you know, and when it runs out
Orientations, task training, equipment training, certificates and tickets — CheckOHS keeps the record of each one: which course, when it was completed, how it was verified, who assessed it, and the certificate or assessment sheet behind it. Your organization decides which courses exist and who needs them; CheckOHS ships no courses. The module is included with every account and stays off until a company admin turns it on.
What it does
A course catalogue your organization builds
The catalogue starts empty: add the training your organization delivers or recognizes, with a code, a title in English and optionally in French, your own classification, how many months it stays valid, and how far ahead a renewal notice goes out. A course can require a practical assessment, demonstrated proficiency or an external certificate before a record is made against it. A course that has records is retired rather than deleted, and changing a course's validity never rewrites records already made.
How it was verified, not just that it happened
Every record says how the training was verified: attendance, a written assessment, a practical assessment, demonstrated proficiency, or an external certificate with its number and issuer. Attach the certificate or assessment sheet — a PDF or a phone photo — and name who assessed it. Retraining never overwrites: the new record becomes the current one and the earlier one stays in the person's history.
Nobody records their own training
Everyone sees their own record under My training, and sends new training, a renewal or a correction for review with the certificate attached. It counts only once someone else accepts it — new training by a supervisor or manager above them, a correction by their manager, a director or a company admin — and a refusal comes with the reviewer's reason. Supervisors and managers reach only the people with a lower role at the locations they supervise.
The team matrix, the expiring list and renewal notices
The team matrix shows each person's current record for every active course, marked valid, expiring soon or lapsed, with how each was verified. The expiring list shows what lapses in the next 30, 60, 90 or 180 days. Once a day, CheckOHS tells each person when their training enters its renewal notice period and again if it lapses, in the app and by email, and sends directors and company admins one summary. The notice period is yours to set; leave it blank and no notices go out.
Training checked before an equipment inspection
A company admin can name the training someone must hold before recording an equipment inspection — for every inspection, or narrowed to a category, an equipment type, a specific asset or an inspection type. Requirements start Off. Advisory warns the inspector and records the gap on the inspection; Enforced refuses the inspection and names the missing training. Training is judged as at the inspection's date, so a back-dated inspection is judged against what was held that day.
The dashboard, the compliance binder and retention
Up to four dashboard cards, each limited to what the reader's role already allows: my training, training to review, team training, and inspections recorded with a training gap. An optional compliance binder section lists each person's training as at the end of the period and how it was verified — what was recorded, not what anyone needed. Records follow your organization's retention period, counted from when a record stops being current; a current record is never eligible for deletion.
Common questions
- Does CheckOHS tell us what training our people need?
- No. The course catalogue starts empty. Which courses exist, which roles or equipment need them, how long they stay valid and how long their records are kept are your organization's decisions. CheckOHS records what you tell it and does not say what training anyone requires.
- Can workers upload their own certificates?
- Yes, but nothing counts until someone else accepts it. A worker sends new training, a renewal or a correction from My training with the certificate attached. The people who can accept it are notified in the app and by email, check it against the certificate, and either accept it or give a reason for not accepting it. Nobody records or accepts their own training.
- What happens when someone is retrained?
- The new record becomes the current one and the earlier record stays in the person's history, so you can show when someone was and was not trained. Each record's expiry is fixed when it is recorded; changing a course's validity later does not rewrite it.
- Can a record be changed after it is saved?
- Directors and company admins can correct a record directly, and must give a reason; the change history keeps the values before and after. Anyone else asks for a correction, which their manager, a director or a company admin accepts. The person and the course on a record cannot be changed.
- Will it stop an untrained inspector from recording an inspection?
- Only if you set it to. Inspection requirements start Off. Advisory warns the inspector and records the gap on the inspection; Enforced refuses the inspection and names the missing training. Running Advisory first shows how many inspections would be affected before anything is refused. Requirements apply to equipment inspections.
- Is training records an add-on?
- No. It is part of CheckOHS rather than an optional add-on, and it stays off until a company admin turns it on in Settings.
