The walk-through, the findings, and what management did about them
A facility inspection is only worth the time if the findings go somewhere. CheckOHS runs the walk-through from a checklist each location controls, records what was found with photos, and tracks every hazard through to a documented management response.
What it does
Checklists managed per location
Managers maintain the checklist items for each location, so a warehouse and an office are not inspected against the same list. Changes apply to future inspections only — an inspection already completed is never altered underneath its findings.
Inspectors propose items, managers approve
An inspector who keeps finding something the checklist misses can propose a new item with a category and reason. Managers review proposals and approve or reject them with a reason, and approved items join future inspections.
Pass, fail, notes and photos per item
Each item is passed or failed with optional notes and photos taken or chosen on the spot. The inspection carries overall notes for general observations, and the date and time are recorded automatically rather than typed.
The checklist is explicitly not exhaustive
Every inspection states that the checklist is not exhaustive and asks the inspector to document any hazard or deficiency observed, listed or not. Those go in as additional findings, so the form never becomes a ceiling on what gets reported.
A management response with a deadline
Hazards identified in a monthly workplace inspection trigger a 21-day management response. The response is recorded against the finding, and responses still outstanding are tracked and surfaced rather than quietly ageing.
Default checklist when none is set
A location with no approved template still gets a working default checklist, with a prompt to a manager to customize it. A new site can be inspected on day one instead of waiting on configuration.
Common questions
- Who controls what is on the inspection checklist?
- Managers maintain the checklist per location. Inspectors can propose additions for review, and managers approve or reject each proposal with a reason. Approved items apply to future inspections only, so completed inspections are never retroactively changed.
- What happens to a hazard found during a walk-through?
- It is recorded against the inspection with notes and photos, and triggers a 21-day management response. The response is documented against the finding, and outstanding responses are tracked so they are visible before the deadline passes.
- Can inspectors record something that isn't on the checklist?
- Yes, and they are asked to. Every inspection states that the checklist is not exhaustive and provides an additional findings section for any hazard or deficiency observed that no item covers.
- Can we start inspecting a new location before configuring it?
- Yes. A location without an approved template uses a default checklist and shows a prompt for a manager to customize it, so inspections can begin immediately.
