What the fleet did, what's wrong with it, and what's coming due
Vehicles need the same inspection discipline as any other asset, plus a running record of who used them and what condition they came back in. CheckOHS keeps usage, damage and renewals against each vehicle, and rolls them up into reporting a fleet manager can act on. This is an optional module — organizations without a fleet are not carrying it.
What it does
Usage and fuel logging
Drivers record the odometer reading, fuel level, fuel added and its cost, oil and washer fluid added, and the vehicle's general condition. A reading lower than the last one recorded is challenged on the spot and needs a note explaining the correction before it will save.
Meter reading from a photo, if you want it
An option within the module: the odometer or hour meter can be read from a photo instead of typed. The reading is filled in for the driver to verify, and low-confidence or unreadable results say so plainly and fall back to manual entry rather than guessing. With the option off, readings are entered by hand and everything else in the module works the same.
A damage register that stays current
Known damage is listed on the vehicle, so drivers can see an issue is already on record instead of filing it again. New damage is reported with a description, its location on the vehicle, a minor or major severity and photos, and is closed out with repair notes recording what was done and by whom.
Major defects become out-of-service reports
Reporting a major defect or major damage takes the driver straight into filing an unserviceability report for that vehicle, so a serious finding enters the corrective action and return-to-service workflow instead of sitting in a log.
Renewal reminders
Registration and insurance renewal dates are tracked per vehicle and surfaced ahead of time, so a renewal is not discovered after it has lapsed.
Utilization reporting
Trips, distance, average trip length, average idle time, trips per week and last-used dates across the fleet, filterable by department and date range. Vehicles with no trips in the period and vehicles carrying compliance flags are called out, and the report exports to CSV or PDF.
Common questions
- How does CheckOHS stop bad odometer readings getting into the record?
- A reading lower than the last recorded value is refused until the driver adds a note explaining the correction — a typo in the previous entry or a replaced instrument cluster, for example. The explanation is kept with the reading, so the correction is visible rather than silent.
- Do drivers have to re-report damage that's already known?
- No. Known issues are listed on the vehicle when logging usage, with a note that anything on the list is already on record. That keeps the register from filling with duplicates of the same cracked windshield.
- Can we see which vehicles are underused?
- Yes. The utilization report shows trips, distance, average trip and average idle time per vehicle, and explicitly flags vehicles with no trips in the period and vehicles never used. It can be filtered by department and exported to CSV or PDF.
- Is the vehicles module part of every account?
- No — it is optional, so an organization with no fleet is not carrying it. Meter reading from a photo is a further option inside the module, and it can be left off while the rest of the module is on. Either can be activated when your account is created, or afterwards by contacting support@checkohs.com.
- Are vehicles inspected the same way as other equipment?
- Vehicles live in the same register as other assets and use the same inspection schedules, including usage-based intervals on kilometres or hours. They also carry the fleet-specific records — usage logs, damage register and renewals — that other equipment does not need.
